General Information
New Students & Students Returning in a New Degree Program | Returning StudentsThe information contained on this page explains the fall Check-in process at the Harvard School of Public Health (HSPH). Please read the enclosed materials carefully; as they will simplify the Check-in process for you. We regret that the Registrar's Office is unable to accommodate requests for early registration. If you have any questions or concerns regarding registration, we encourage you to call the Registrar's Office at (617) 432-1032.
New Students and Students Returning in a New Degree Program -top-Where
- Fall Check-in will be held in Sebastian's Cafeteria located on the first floor of the School of Public Health's Kresge Building (Building III), at 677 Huntington Avenue.
When
- Check-in will take place on Monday, August 24, 2009. Your Check-in times correspond with your assigned cohort. You will be notified of your cohort in a separate email to your HSPH account. The schedule below was designed to allow you as much time as possible during the Check-in proceedings. Therefore, we kindly ask that you come to Check-in only during your scheduled time. We regret we cannot accommodate you at an earlier time.
Cohort Check-In Time A, B, C 1:30 PM - 3:30 PM D, E, F 3:30 PM - 5:30 PM Returning Students -top-- Returning Students are no longer required to participate in the Registration Check-In Process. You must however, meet your pre-registration requirements including being financially cleared in order to register.
- Returning students must complete any outstanding admissions contingencies prior to Monday, August 24. If the contingencies are not satisfied, your registration and/or graduation eligibility will be impacted.
- Continuing doctoral students must be in compliance with the doctoral timetable outlined in the HSPH Student Handbook. Students who have not maintained the timetable must submit the appropriate forms to the Registrar's Office by September 11, 2009.
- Returning students: Please note that if you are continuing on in the same degree program, your current ID card is still valid. Please bring it with you when you arrive on campus.

Check-In Procedures Registration begins at the CHECK-IN STATION. There you will be given check-in and orientation materials. You will then be directed to specific stations, depending on your registration status. Below you will find detailed information about each station. Please review your materials as indicated by the check-in staff and proceed to all required stations.
Green Station (Clear to Register)
If your registration materials have a green sticker, congratulations, you have met all registration requirements and are clear to register! Please proceed to the GREEN / REGISTRAR'S OFFICE STATION. You will be given your registration packet that details how to finalize your registration for courses via the School of Public Health's on-line registration system OASIS.

YELLOW STATION (Conditional Registration) If your registration materials have a yellow sticker, there is a contingency on your registration. Please proceed to the YELLOW STATION to clear your registration. Conditional registration status means you have not met one or more of the following registration requirements:
*You have an admissions contingency, which appeared on your letter of acceptance,
or
*You have postal payment due
Check-in requirements are outlined below. If you do not clear your doctoral contingency by September 11, 2009, you will be removed from class lists and administratively withdrawn from degree candidacy.

Admissions Contingency New students must meet all admissions contingencies specified in their letters of admission prior to registration. Students with outstanding contingencies may be withdrawn from degree candidacy.
Please remember that SOPHAS does not forward official transcripts to any school. All official transcript/marks sheets/degree conferrals must be submitted in time to clear contingencies before August 24.If you are an MD/MPH or a JD/MPH student, please ensure that your most recent transcript (showing Spring semester grades) has been sent to our office. Please note that a contingency will remain on your file for a final transcript showing degree conferral. This final transcript contingency will not prevent you from registering during your time at HSPH, however, it will need to be satisfied in order for you to receive your MPH from HSPH.
If you have a HSPH math review contingency, we understand that this will not be satisfied by registration check-in day. Upon completion of the math review, we will receive a list of those students who have satisfied the contingency, however, you must register for and attend the math review if this is one of your contingencies.
If any contingencies are not submitted in a timely fashion, your matriculation and graduation eligibility will be impacted. If you have any questions about admissions contingencies, please contact the Admissions Office at admisofc@hsph.harvard.edu or at (617) 432-1031.

BLUE STATION (Registration Hold, Blue Slip (International Students Only), and certain Admissions Contingencies)
If your registration materials have a blue sticker, there is a hold on your registration. Please proceed to the BLUE STATION to clear your registration. This hold status means you have not met one or more of the following registration requirements:
*You are an international student who has not obtained a "blue slip" from the Harvard University International Office ,
*You are a permanent resident of the United States and have not submitted a copy of your permanent record card to the admissions office. Submit this documentation prior to check in day or bring your permanent resident card with you on registration/check-in day.You will not receive a registration packet until you have cleared your registration hold (check-in requirements are outlined below). If you do not clear your registration hold by Friday, August 28, 2009, you will be administratively withdrawn from degree candidacy.
Blue Slip - International Students International students must submit visa and passport information to the Harvard University International Office (HIO) for verification. The International Office will issue you a 'blue slip' once this information is verified. The blue slip must be submitted to the Admissions Office in order to be clear for registration. The International Office is located on the 8th floor of Holyoke Center in Cambridge.
A representative from the International Office will be available to meet with you at the School of Public Health during registration check-in on August 24, 2009. Be sure to bring your passport and visa documentation with you to registration/check-in day.
International students who have not submitted a blue slip will be allowed to register conditionally until August 28, 2009. Those who have not submitted a blue slip by the deadline will be withdrawn from degree candidacy.

PURPLE STATION (Registration Hold, Immunization)
If your registration materials have a purple sticker, there is a hold on your registration. Please proceed to the PURPLE STATION to clear your registration. This hold status means you have not met the following registration requirement:
*You have not provided complete documentation to the University Health Services showing you have had the proper immunizations.
*You will not receive your registration packet until you have cleared your registration hold (check-in requirements are outlined on the following pages). If you do not clear your registration hold by Friday, August 28, 2009, you will be administratively withdrawn from degree candidacy.- Pay current semester's charges in full.
- Enroll in the Monthly Payment Plan (MPP). This plan allows students to pay term bill charges in four monthly installments. The first installment must be made prior to registration. The processing fee is $35 per semester. To apply for the MPP, contact the Student Billing Office at (617) 495-2739.
- Have approved loans that will cover the semester's charges.
- Have approved loans that will partially cover the semester's charges and pay the balance.
- Provide written documentation from a financial sponsor to the Office of Student Financial Services that the bill will be paid in full by the sponsoring agency. Please complete and submit the enclosed Sponsored Billing Form if a sponsor will be paying your term bill.
- Have tuition and fees paid in full by a training grant appointment through your department.
- Failure to receive a bill does not exempt a student from meeting these financial requirements.
- All students who have received a Harvard ID and PIN number may access their bill on-line at www.termbill.harvard.edu.
Immunization Requirement The Harvard School of Public Health requires that all degree candidates present documentation of immunity to measles, mumps, and rubella, diphtheria and tetanus before registering. You must either present documentation that you have received the appropriate vaccine(s) or submit documentation of a blood test showing antibodies to the measles, mumps, rubella, diphtheria Hepatitis B, Meningococcal and tetanus. The only circumstances under which you may be exempt are:
1. You provide written certification from an examining physician that your physical condition is such that one or more of the required immunizations would endanger your health (especially for pregnant women or women attempting pregnancy).
2. You state in writing that the required immunizations conflict with your religious beliefs.
Students who have not submitted proper documentation will not be allowed to register and will be withdrawn from degree candidacy if the requirement is not met by Friday, August 28, 2009. As noted on the Admitted Student Website, all new students should visit http://huhs.harvard.edu and click "New Student" to access medical forms, immunization requirements, and Student Health Plan information.
If you need more information on the immunization requirement, please contact Harvard University Health Services at (617) 432-1370. If you have not received an immunization documentation form from the Admissions Office, please contact them at (617) 432-1031.

RED STATION (Registration Hold, Financial)
If you are given a red sticker, there is a hold on your registration. Please proceed to the RED STATION to clear your registration. Registration hold status means you have not met the following registration requirement.
You will not receive a registration packet until you have cleared your registration hold (check-in requirements are outlined below). If you do not clear your registration hold by Friday, August 28, 2009 (new students) or by Friday, September 4, 2009 (returning students) you will be administratively withdrawn from degree candidacy.

Financial Clearance To fulfill financial requirements, a student must pay all past charges due to the University and must take one of the following actions toward payment of the current semester's charges:

Any student whose indebtedness to the University remains unpaid by the following dates will be withdrawn from degree candidacy.
* August 28, 2009 for New Students

Admissions Deferral -top-Please note that if you are requesting a deferral of your admission, the deadline to make such a request is Friday, July 31, 2009. Deferral requests must be made to the Admissions Office in writing. The request should include the reason for the deferral. Deferrals are subject to the approval of the department.

Student Identification Cards Returning Students: Please note that if you are continuing on in the same degree program, your current ID card is still valid. Please bring it with you when you arrive on campus.
New Students: You should have received an email in early July from the Harvard ID Services Office regarding a new Harvard University ID Card Photo Submission Application. If you did not receive this email, you may view the text here If you successfully submitted a photo and it was approved by the ID Services Office, your permanent photo ID card will be available at registration check-in. At that time, we will validate your identity and photo. You must bring a government-issued photo ID, such as a passport or a driver’s license in order to receive your Harvard ID card.
If you did not successfully submit a photo, your next stop is the photo-capture station to have your picture taken for your permanent photo ID card. You will be issued a temporary ID card at check-in. You will be notified via your HSPH email account when your permanent ID card is available for pick-up at the Registrar’s Office.
Meeting With Your Advisor The name of your advisor will be on your registration packet label. You should schedule an appointment with him/her as soon as possible to discuss the appropriate selection of courses for your degree program. Please keep in mind that some faculty members have offices located off the HSPH campus. Your advisor should have an appointment sign-up sheet on his/her door.
Your registration is considered finalized only after you print out a copy of your course information from OASIS, obtain all appropriate signatures (including instructors' if indicated) and submit your print out to the Registrar's Office no later than Friday, September 11, 2009.
If you submit your registration print out to the Registrar's Office prior to the registration deadline, and then make additional changes on OASIS, you must submit a new print out to the Registrar's Office with the required signatures.
