ALICE/MyHSPH Maintenance This Wednesday, May 8th

UPDATE: All upgrades were successful.

The Department of Information Technology will be performing important infrastructure maintenance work that will take place Wednesday, May 8th, on the ALICE and MyHSPH Student Information Systems (SIS). This work is part of our migration project to newly purchased back-end storage systems.

The work is scheduled for Wednesday, May 8th, from 9:30pm – 11:30pm. The following systems will be affected:

• MyHSPH Portal
• ALICE Self Service for Students and Faculty
• Internet-native Banner (Administrative users)

Please Note:
In an effort to minimize impact to your user community, we will maintain a landing page at the school’s portal address of https://my.sph.harvard.edu which will respond and will provide direct links to services such as Email, Netstorage for access to network files, and iSites for coursework, among others.

Network Drives and Laptop Encryption for Macs Now Available

Dear HSPH Faculty and Staff,

The Department of Information Technology is launching two important Apple Macintosh (Mac) projects:

  1. Providing Mac access to Novell network drives (P, S, and other drives)
  2. Encrypting all Harvard-owned Mac laptops using Credant endpoint encryption

About Network Drive Access

With a Novell product called Kanaka, we are now able to connect your Harvard-owned Mac laptop and desktop directly to the HSPH network drives, similar to a Windows-based computer with Novell. This will give you direct access to your P: drive (personal drive), your department S: drive (shared drive), and any other network drives to which you may have access.

Additionally, with an HSPH VPN account, you can connect to the network drives on a Mac laptop when you are not on the campus.

The Novell Kanaka installation only takes a few minutes and is free; however, there are some minimum requirements that must be met before we can connect your computer to the network:

  1. Mac OS X Version 10.7.5 or 10.8.2
    Your Mac’s operating system must be Lion (OS X Version 10.7.5) or Mountain Lion (10.8.2) If you need to update from Snow Leopard (10.6) or lower, your department must purchase the software; our technicians will then work with you to install the update.
  2. Laptop Encryption
    If the Mac is a laptop, encryption is a requirement. Network drive access will only be established after the laptop has been encrypted.

About Laptop Encryption

Full disk encryption is an important step in protecting confidential information and has now been mandated by Harvard University.

There will be no charge to encrypt your laptop. It will be provided free as a service of the Department of Information Technology.

(The encryption process also requires Mac OS X Lion (10.7.5) or Mountain Lion (10.8.2).  If you need to update from Snow Leopard (10.6) or lower, your department must purchase the software; our technicians will then work with you to install the update.)

All new Mac laptops will be encrypted when they are brought to the Helpdesk for setup.

Scheduling

Christopher Cahill, our Help Desk Manager, will be contacting department administrators and individual users in the coming weeks to schedule setting up network access and/or laptop encryption.

If you would like to be put on our upgrade list, please email encryption@hsph.harvard.edu.  Please include if you have an iMac and/or Mac laptop and the current operating system of the computer(s) (see About this Mac in the menu bar).

We will then contact you to schedule the installations.  With more than 200 Macs at HSPH, we appreciate your patience during the rollout.

We hope that this offering will begin to bridge the gap in support for Apple/Mac products at HSPH.

Congratulations to Alex Garcia-Rangel

We are pleased to announce that Alex Garcia-Rangel has been promoted to SIS Manager.  Alex has been the interim SIS manager since mid-November on a part-time basis.

Alex has been working on the SIS project since its inception in 2008.  He was on the implementation team as the technical lead.  Alex has built all servers for SIS, maintains our backups, maintains our disaster recovery site, and administers other products/servers that tie into Banner (e.g., EMS and PowerFAIDS).

Alex Garcia-Rangel

Alex has been with the HSPH IT Department for more than 10 years.  He first worked with our desktop team as a technician and was promoted to a server administrator position with the server team in 2006.  In addition to his excellent technical skills, his customer-service focus, strong troubleshooting skills, and outstanding communication skills will be an immediate asset to the SIS team.

Alex’s new responsibilities will include:

  • Managing team of 4 SIS employees.
  • Maintaining and upgrading Ellucian Banner infrastructure and MyHSPH portal.
  • Working with the Registrar, Admissions, and Financial Aid on planning, reporting, feature requests, and training needs.
  • Working with functional users from around the school to enhance and expand our system.
