In the spring of 2006, HSPH will begin the process of switching to GroupWise, a faster and more reliable e-mail system than the School's current system.

GroupWise is much more than an e-mail program and gives users a flexible tool that can also serve as a calendar, an instant messenger, and a document manager accessible by the user from any Internet connection.

Demonstration sessions have been scheduled, starting next week. Attendees will have the chance to win a free iPod. See boxes below.

"As its name suggests, GroupWise is a 'groupware' product, meaning that it is designed to have integrated features and to make sharing information easier," said Alex Garcia-Rangel, a Senior Support Specialist in IT who will co-lead the demonstration sessions with Greg Mazzu.

Currently, the HSPH community uses separate software programs to manage their e-mails, calendars, and documents. GroupWise combines all three, plus offers many other features. While in GroupWise, users can send e-mails, request appointments using a special calendar function, maintain their own digital calendars and address books, and share documents such as Word files or Excel spreadsheets with other users on the HSPH GroupWise system.

Free iPod Shuffles

The HSPH IT Department will raffle three iPod Shuffles to attendees of GroupWise demonstration sessions. Raffles will take place in January. For more information, call the HelpDesk at 617-432-HELP.

GroupWise greatly boosts users' ability to hit the road and still have all of their information available to them. Because the software uses a secure connection, GroupWise can be accessed through the Internet and does not require virtual private network (VPN) software. Because GroupWise is only one program, there is less to configure and more consistency among features.

The program also synchronizes well with hand-held PDAs, such as Blackberries, Palm, and Windows mobile devices. Accessing calendars, contacts, and e-mail are all well-supported in GroupWise.

Deane Eastwood, who is serving as the project's manager, explained: "Mobile computing has become more and more important for faculty, staff, and students at HSPH. People are accessing their e-mail and calendars from the office, from home, from the airport on their PDAs, from Starbucks, from anywhere. Rolling out GroupWise to the community should greatly enhance mobile computing."

IT will follow the demonstration sessions in December and January with training classes for all users beginning in March.

"We hope that HSPH members will come to realize how much the software has to offer," said Garcia-Rangel. "We encourage anyone who has questions to call the HelpDesk at 617-432-HELP or take a look at http://www.hsph.harvard.edu/email." IT also has a brochure that will be mailed to the community and that explains more about GroupWise.
