A redesigned HSPH online Calendar was launched in September to display a more comprehensive scope of events at the School (http://www.hsph.harvard.edu/calendar/). The reconfiguration bridges the traditional online Calendar with the Schools room reservation system. Dates, times, locationsas well as information such as speakers, when appropriateare listed for the following kinds of entries: classes School holidays are also listed. Below are frequently asked questions and their answers about the new calendar system. Q. I submitted Calendar entries and room reservations before the new system launched on September 3. Do I need to re-enter them? No. Entries and room reservations were transferred to the new system. Q: How do I add an entry? First, reserve a room for your event. If the room appears on the list below, contact Karen Brown, 617-432-4067, klbrown@hsph.harvard.edu, in the Office for Student Services to make the reservation. Students should contact Michael LaFarr, 617-432-6650, mlafarr@hsph.harvard.edu. You will then receive two e-mails. One will be a confirmation of your room reservation. The other will be a link to go online to add your calendar entry. Kresge G-1 (Snyder Auditorium) Q. What if my room is not on the list above? Visit https://cfserver.hsph.harvard.edu/cfdocs/calendar_user/rooms_unems.cfm to find contact information for rooms not reserved through the Office for Student Services. These rooms are typically departmental conference rooms, Kresge 110, Kresge cafeteria,* and the atriums of the Kresge and FXB buildings.* Then, you can log into the Calendar at https://cfserver.hsph.harvard.edu/cfdocs/calendar_admin/login.cfm to make an entry. You do not need to wait for an e-mail prompting you. Your login is the first eight digits of your Harvard ID number. Your PIN is your regular Harvard PIN, such as what you use for PeopleSoft. *Please contact Operations at 617-432-1152 when planning an event in these rooms. Q. I need a Harvard PIN to log in and do not have one. What should I do? Visit https://www.huid.harvard.edu/pin/pin_req.asp for instructions. Q. I logged into Calendar with my Harvard PIN, but then received a message that I do not have authorization to make an entry. What should I do? Send an e-mail to calendar@hsph.harvard.edu with your Harvard ID number, your full name, and your department. Please do not send passwords. Q. I do not want my entry to appear on Calendar. What do I do? If you reserved a room through the Office for Student Services, ask them to mark the event as "do not display." If you reserved a room a different way, do not add the entry to the online Calendar. Q. What if I need to change information for an event that I already entered? A great feature of the new calendar is that you may edit your events whenever you need to make changes. Simply log in and click the "Your Listings This Month" link or the "Your Pending Listings" link, then click the "Edit" link next to the individual entry. Important: If you reserved a room through the Office for Student Services and need to make a change to any of the following fields of information, you must contact Karen Brown at 617-432-4067 or klbrown@hsph.harvard.edu to make the changes. The changes will then automatically be made to the online Calendar: Event name Q. I need to cancel an event that appears on Calendar. Whom do I contact? If you reserved a room through the Office for Student Services, contact Karen Brown at 617-432-4067 or klbrown@hsph.harvard.edu. The Calendar entry and event will be removed from the Calendar. If you wish to keep the event on the Calendar notifying the public that it is cancelled, ask the room scheduler to mark the event as "Cancelled with display." The event will then be on the Calendar, but marked as not taking place. If you reserved a room by contacting an administrator not in the Office for Student Services, send a cancellation notice to calendar@hsph.harvard.edu. Q. I made a room reservation through the Office for Student Services for an event months from now and do not know the related publicity information yet, such as the names of the speakers. What should I do? Please save the e-mail you received after reserving your room and then use the link when you have the information. A reminder e-mail will also be sent to you in advance of the event. Q. May I e-mail a PDF or Word document with a list of events to calendar@hsph.harvard.edu and have the list entered? Unfortunately, no. The entries need to be provided by the submitters themselves using the form at https://cfserver.hsph.harvard.edu/cfdocs/calendar_user/add_instr.cfm. Q. I wish to add my oral exam or thesis defense onto the Calendar. Announcements of oral examinations and thesis defenses are accepted onto the Calendar when they come from the Registrars Office or from another designated School official. Please contact the Registrars Office at registra@hsph.harvard.edu if you have questions about this process. To find out how to publish them in Harvard Public Health NOW, please see the next question and answer. Q. How do I request the entry appear in Harvard Public Health NOW? Calendar entries are downloaded from the online calendar, including oral exams and thesis defenses, and are printed in Harvard Public Health NOW, space permitting. You do not need to make a separate request. Due to print deadlines, submissions must be made by specific dates. Please see https://cfserver.hsph.harvard.edu/cfdocs/calendar_user/hphnow_deadlines.cfm. Q. Whom do I contact if I have questions? Many questions can be answered by e-mailing calendar@hsph.harvard.edu.
