Cut-Off Date: The "cut-off date" for accepting reservations into this guest room block is SEPTEMBER 2, 2008 at 12:00 AM. Reservation requests received after 5:00 PM local time at the Hotel on the cut-off date will be accepted at the Hotel's prevailing rate, based on availability.
Reservation Procedures: Individuals will be responsible for making their own reservations. They may call the hotel directly at (617) 424-7000. It is imperative that guests identify themselves as part of the group in order to take advantage of the subsidized rate.
Group Room Rates: Room rate of $269 is net, non-commissionable. All guest rooms are quoted exclusive of applicable state and local taxes, currently 12.45% (Massachusetts state tax of 5.7%, city tax of 4%, and (CCF) tax of 2.75%). Subject to change without notice. Please note quoted rate is for overnight accommodations only, and does not include parking.
Early Departure Fee: In the event that a guest who has reserved a guest room within the Group's guest room block checks out prior to the guest's reserved check-out date, an early departure fee of (1 room night's room and tax) will be charged to the guest's individual account. Guests wishing to avoid this fee must advise the Hotel at or before check-in of any change in the scheduled length of stay.
Check-in/Check-out: Our check-in time is after 3:00 PM and our check-out time is by 12:00 noon. Anyone arriving earlier than 3:00 PM will be checked in as soon as rooms become available; however, they should be aware that there may be a wait. Upon departure date, guests may incur a late check-out fee should they check out after 12:00 noon. The Hotel will be happy to arrange baggage storage for attendees' luggage until their actual departure from the hotel if requested.
Parking: Please be advised that parking is on a first-come first-serve basis and is currently priced at $15.00 per vehicle for event parking and $36.00 per vehicle for overnight parking. This pricing is subject to change without notice.

Cancellation Policy: If you should need to cancel all or a portion of your reservation, we
request a 14-day notice in advance for a full refund. If a cancellation is received in less than the designated amount of time, and we aren't able to rebook your room(s), you will be charged the full rate for each night not rebooked.

Method of Reservations: Reservations for the Room Block will be made by individual attendees directly with the Hotel's reservation's at 1 (800) GOT BEST or (617) 731-4700. Individual attendees may use a credit card to guarantee reservations.
Cut-Off Date: Reservations by attendees must be received on or before SEPTEMBER 3, 2008, (the "Cut-Off Date"). At the Cut-Off Date, the hotel will review the reservation pick up for the Event, release the unreserved rooms for general sale, and determine whether or not it can accept reservations based on a space-and-rate-available basis at the group rate after this date.
Billing Arrangements: The following billing arrangements apply: room, tax, and incidentals are to be paid by each individual.
Parking: Parking facilities are available at a flat rate for the hotel guests. Parking nightly rate of $18.00 is subject to change. The self-parking garage is not owned or operated by the Best Western Boston, The Inn at Longwood Medical.
