Student Organization Funds Request Form

HCSA has $3,000 of funding to award to student organizations for an event/activity. Awards will be considered and awarded in $200 increments per event. For Fall 2019 a maximum of $1,000 will be awarded, in Spring 2019 a maximum of $3,000 can be awarded. Program funding can cover a variety of areas including academic, cultural, and social events related to public health that engage the Harvard Chan community.

Application

An application should be submitted preferably one month but no later than two weeks prior to the event date. Applications submitted less than two weeks before an event will be accepted, though a review is not guaranteed. Student organizations may submit multiple applications. Once an student organization reaches the max of $200 awarded  cannot award additional funding to the organizations.

The following components are required in the application:

Event Description

A detailed description (2-3 paragraphs) of the event/activity, including how the event will engage HSPH students across the School. Events that reach the entire School, are relevant to public health, feature students, and include partnerships with other student organizations and/or entities at the school are more likely to be evaluated favorably. Additionally, it should include

  • Proposed date, time, location,
  • Estimated attendance (including estimated number of HSPH students)
  • Additional groups/entities that may be involved

Budget

The application should include an itemized budget, including catering costs, media services, transportation, room fees, and any other expenditure. Additionally, the application should include funding that has been requested and/or received from other organizationsincluding but not limited to external groups, the School, and the University.

Amount of Assistance Requested

The amount of funding requested from HCSA and which item it will be used to cover must be included in the itemized the budget.

Review

Applications will be reviewed every two weeks by the HCSA Finance Committee, consisting of HCSA representatives and executive board member(s). After reviews are completed, decisions about awards of funding will be sent out the following week. Responses will be sent out within two weeks of receiving the application.

Awarding Criteria

Applications will be evaluated on the following criteria.

  1. Impact: What impression this event/activity leave on HSPH students and the community?
  2. Relevance to Public Health: How is this event/activity related to public health?
  3. Student Engagement: How many students are expected to attend? Who is the anticipated audience? Will it attract students from across the School?
  4. Partnerships: Which groups are collaborating with the student group to host the event/activity?
  5. Presence: How wide reaching, visible, and inclusive is the event/activity?

The criteria will be rated on a scale of 1-2-3 with 1 being low, 2 medium, and 3 high. Proposals will need to average at least a 2 across the five categories to be funded.

Funding Disbursement

If the student organization is awarded funding, HCSA will disburse the funding. If making an inter-Harvard payment, HCSA can directly pay for the service. For external-to-Harvard vendors, the student organization will email receipts to Mona Kelkar (monakelkar@hsph.harvard.edu) with the submit line “Student Organization Funding Receipts” within one week of the conclusion of the event date. Following submission of receipts, a reimbursement check will be written to the individual(s). Student organizations should honor general policies and behaviors, set forth by the HSPH Student Organization Handbook (https://www.hsph.harvard.edu/wp-content/uploads/sites/48/2012/09/Student-Organization-Handbook-2018-20191.pdf). Violations of conduct/school policies can result in withholding of funding disbursement until further clarification is received.
